Castle Branch and CAPS: How USA Clears You for Clinicals

Castle Branch, accessed through the myCB portal, is the third-party compliance vendor the University of South Alabama uses to verify that every nursing student meets clinical eligibility before a rotation begins. USA does not accept a stack of loose paperwork; it requires your records inside myCB so the Office for Clinical Affairs and your clinical sites can confirm compliance in one place.

The myCB account bundles three things USA needs from you: a Medical Document Manager where your immunization and health records live, a background check, and an 11-panel drug screen. Each piece has to clear before you can be placed. If any item is incomplete or expired, your placement stalls, which is why we treat Castle Branch as the first gate to work through, not an afterthought.

The Medical Document Manager is the section of your myCB account where you upload and track your health and immunization documentation so USA and your clinical site can verify it. It stores your records, flags what is missing, and shows expiration dates so nothing lapses mid-rotation.

The core immunizations USA expects documented are:

• MMR (measles, mumps, rubella)
• Varicella (chickenpox)
• Hepatitis B
• TDAP (tetanus, diphtheria, pertussis)

You upload proof for each, typically titers or vaccination records, into the Medical Document Manager. Because clinical sites can set their own additional requirements, always confirm the full list against your current USA handbook and the specific site's rules. We help you assemble, name, and upload these documents correctly so a reviewer approves them the first time instead of kicking them back.

Alongside your health records, myCB runs a background check and an 11-panel drug screen, both of which USA requires before clinical placement. The background check verifies you are eligible to be in a patient-care setting, and the 11-panel drug screen is a standardized lab test ordered through your Castle Branch account.

You complete both through myCB rather than arranging them independently, which keeps the results attached to your compliance file where the Office for Clinical Affairs can see them. CAPS is USA's in-house clinical placement and tracking system, operated by the Office for Clinical Affairs, and it is where your approved preceptor and clinical site are logged. Castle Branch proves you are compliant; CAPS is where the actual placement is recorded and tracked once your preceptor is approved.

This matters because placement at USA is an admission gate. USA runs a student-led placement model: you must locate your own clinical site and preceptor, and USA gives no guarantee of approved placement, assisting only as needed. Until a placement is identified and logged, you are admitted only conditionally and capped to limited support credit hours. Getting a USA-approved preceptor confirmed and recorded in CAPS is what moves you from conditional to full admission.
